Description

Secretary to Supervisor of Clinical Support for the Partial Hospitalization Program - position available beginning December 3, 2025.

JOB GOAL:  To perform all secretarial functions necessary to assist the Supervisor of Clinical Support for the Partial Partial Hospitalization Program, Supervisor of Special Education for Partial Hospitalization Program, and the Director of Resolve Behavioral Health Services in the management of programs under Resolve Behavioral Health Services; ensure effective and efficient office operations; be an integral part of the IU vision and mission.

                                                                       

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

1. Resolve Programs - Partial Hospitalization

Initiate new client documentation for admission to program, including scanning and entering documentation into several databases and ensuring delivery of original packet to assigned location; manage report collection, typing, and distribution; prepare correspondence; maintain file systems; schedule and cancel appointments, interviews, and meeting room reservations; prepare and maintain program procedural manuals; submit license and proposal renewal documents as requested; participate in the coordination of in-service training (staff development); process record releases; prepare statistical data; manage Orientation Day process.

 

 

2. File Maintenance

Ensure files are maintained for Partial Hospitalization Programs by preparing new folders, collecting needed files, and returning files no longer in use; filing incoming client documentation; audit Partial Hospitalization Program client files upon clients’ discharge and receipt of chart from the site; preparing files for optical imaging; prepare file cabinets for the new school year.

 

 

3. Departmental Responsibilities

Prepare and distribute meeting notes as requested; manage files; provide collaborative efforts among staff and clients; provide established back-up coverage with phones andassistance to other work areas as requested; distribute incoming envelopes from Colonial Academy within the IU Office when requested; complete the necessary tasks and assist the Supervisor of Clinical Support Services and Supervisor of Special Education in facilitating the effective management of the Partial Hospitalization Program, and other Resolve services.

4. Office Duties and Responsibilities

To ensure effective and efficient office operations by maintaining confidentiality; performing work in a neat, accurate and timely manner improving on work quality and efficiency; manage phone calls; maintain staff schedules; manage appointments; manage requests from outside agencies/school districts with regards to present or former clients’ record releases of information; enter information into the CPE Tracker system for appropriate Resolve Behavioral Health Services trainings and conferences as a backup to the program secretaries, with follow-up by completing all steps to completion and approval of Act 48 credits/CEUs; complete and monitor duplication and lamination requests; maintain work area; participate in the work sharing process; assume additional responsibilities as necessary; attend office trainings, workshops, and conferences; extend courtesies to staff and visitors; maintain positive and professional relationships; follow IU policies and procedures; be an integral part of the Intermediate Unit’s vision and mission by working as a team member, contributing to and achieving department

 

goals, updating supervisor(s) and team members on potential opportunities.

 

 

 

 

 

OTHER MAJOR DUTIES AND RESPONSIBILITIES

 

Perform other job functions as directed by Supervisor of Clinical Support and/or the Supervisor of Special Education for Partial Hospitalization, Resolve Behavior Health Services.
