Job Summary

The job of Career Center Coordinator position was established for the purpose/s of providing a wide range of support to assigned school and or district personnel; communicating information to staff, students, and the public; completing assigned projects; providing complete and accurate records; assisting with a variety of reports; and providing information and/or direction as may be requested.

This job reports to the school administrator

 

Essential Functions

  • Assists school counseling and comprehensive guidance staff in creatingan education and career plan for each student through the College and Career Readiness (CCR) plan process including organizing, creating and presenting at CCR parent presentations; PowerPoint, worksheet assignments, scheduling, informational booklets and advertising.  Assists in individual CCR’s with 9-12th grade students and their parents, enters class requests, explains and guides students in career pathways, schedule choices and class changes.  Represents counselors in their absence for the purpose of conveying and gathering information.  Maintain records and prepares files for CCR’s and other conferences.   Understands and helps identify and develop information on school career pathways and attends Region pathway coordination meetings. Oversees all aspects of bulk mailing to parents and students.

  • Help students select the right financial options to help pay for post high school education. Stay current with FAFSA information procedures. Guides parents and students through the FAFSA application process. Plans and conducts Financial Aid Nights for students and parents. Scholarship booklet published and available online and updated through the year. Advertise scholarship opportunities through newsletters, announcements, flyers, bulletin boards, classroom visits and internet. Liaison for the PTA newsletter’s counselor page providing dates and important information of upcoming events and scholarship opportunities. Assists CTE teachers with specific scholarships and awards. And sharing of pathway information.

  • Inform and interview potential students for additional opportunities. Advertise and make applications available for summer programs (U of U Science educators of Tomorrow, Scientists of Tomorrow etc.) Initiate and cultivate contact with the community network for scholarship and other leadership opportunities (HOBY, Freedom Foundation, Girls State, Boys State, RYLA, UVU Advancements for Leadership, Women in Leadership etc.); interview candidates and/or transport students.

  • Linking together with colleges, universities and business organizations for seamless transitions to higher education careers. NCAA eligibility; evaluating student transcripts, submit courses yearly to NCAA for approval, help students register online, counsel students on course selections to qualify for Division I and Division II collegiate athletics.  Work with district director over counseling and guidance to assist in pilot or other programs to improve communications with higher education partners, business, and other government youth organizations. Coordinates visits with universities, colleges, technical colleges, business and military representatives throughout the year.  Affiliate with universities, colleges and other admissions personnel to acquire information and important data to inform students.  Work with concurrent enrollment students to ensure their continued admission status.  Be aware of concurrent enrollment changes and updates.  Meet with district program director to share the status of students, scholarship information, career planning and university admissions planning on a regular basis. Administration of standardized testing: ACT, AP, PLAN, PSAT.  ACT/SAT preparation, signup information to students and parents. Set up advertise, and provide travel for university campus tours.  

  • Help students select and plan the correct career pathway. Access college websites to teach students about college, career and scholarship options. Teach students on how to select an appropriate higher education institution. Career fairs; establish contacts to set up and facilitate career fairs. Instructs students in establishing their portfolio in UtahFutures; computer software used in conjunction with CCR and career exploration and personality and skills assessments. Refer students to Department of Workforce Services. To assist with the work based learning/CTE coordinator in each high school to assist students in career internship and placement opportunities. Collaborate with other high school counterpart-meet with each other during intervention once a month. Work with district director over counseling and guidance to assist in pilot or other programs to improve communications with higher education partners, business, and other government youth organizations. To meet with the district program director to share the status of students, scholarship information, career planning and university admissions plan on a regular basis. Keeps track of student contact and guidance in the District student data base software (PowerSchool).

    Minimum Job Requirements

    SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions.  Specific skill-based competencies required to satisfactorily perform the functions of the job include: Writing proficiency (i.e. letters of recommendations) Skills in office methods, techniques, practices and procedures.  Skill in the use  of computers and computer software applications, including PowerSchool, Class Choice, Power Point, word processing, spreadsheets, e-mails and databases. Record management. Successful in completion to meet deadlines despite frequent interruptions and conflicting time demands. Interpersonal and problem solving skills.

    KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: commonly accepted office application software and machines; some bookkeeping/accounting practices; and English grammar/punctuation/spelling/vocabulary.

    ABILITY is required to collaborate and communicate with students, parents, counselors, counterpart, CTE director etc. Ability to work independently without direct supervision. Must be highly organized and able to meet deadlines. Ability to counsel students with a compassionate and friendly attitude, be an advocate for the student. Ability to perform a variety of administrative support duties with minimum supervision. Ability to follow oral and written procedures and instructions.  Ability to communicate effectively, orally and in writing. Ability to meet and deal with people of diverse backgrounds. Ability to coordinate and assist in the preparation and monitoring of departmental financial transactions. Ability to prioritize and follow projects through to successful completion. Ability to work independently on multiple tasks; able to prioritize and follow projects through to successful completion to meet deadlines despite frequent interruptions and conflicting demands. Must have flexibility, persistence, integrity, efficiency, independent worker, ability to work with public, ability to be assisting/caring, creative, must have stress tolerance, be able to pay attention to detail, verify information, gather information, work with confidential information, evaluating, advising, planning, coordinating and team work.

     

Responsibilities

Responsibilities include: working under limited supervision using standardized procedures; leading, guiding, and/or coordinating others; and operating within a defined budget. Utilization of some resources from other work units may be required to perform the job's functions. There is some opportunity to affect the organization's services.

College and Career Readiness (CCR) Support Functions

  • Coordinate and promote scholarship opportunities for students; ensure ongoing communication and updates.
  • Serve as a liaison to college representatives, military recruiters, and local businesses for student engagement opportunities.
  • Facilitate and support College Application Week activities in collaboration with school counselors.
  • Organize and participate in College Signing Day and Senior Decision Day events.
  • Participate in planning and execution of Higher Education Day.
  • Coordinate student participation in SheTech, DigiGirlz, Engineering Day, Girls State, Boys State, HOBY, and similar enrichment programs.
  • Plan, schedule, and support FAFSA Completion Nights and FAFSA Boot Camps; ensure outreach to families and students.
  • Organize and support Multicultural College Parent Night and Beyond High School Night.
  • Provide individual advising to students and parents regarding scholarship opportunities, financial aid, and post-secondary planning.
  • Match students with scholarship and college/career opportunities and provide targeted advising and follow-up support.
  • Collaborate with school counselors during CCR (College and Career Readiness) meetings and initiatives.
  • Assist in maintaining and analyzing data related to the Senior Exit Survey.
  • Promote and assist in CTE Month and Career Fair planning and logistics.
  • Support CTSO (Career and Technical Student Organization) events and judging activities.

Administrative and Communication Responsibilities

  • Maintain and update counseling and THS main Google calendars with relevant events, deadlines, and visits.
  • Publish updates to the CCR blog biweekly.
  • Write and distribute announcements (daily, weekly, and for the monthly PTA newsletter).
  • Attend and actively participate in department, staff, and CAM (College Access Mentor) meetings.
  • Serve as a daily resource for GEAR UP mentors and counseling interns.
  • Manage ordering and inventory of office and counseling supplies (including ACT, SAT, FAFSA, and CCR materials).
  • Complete field trip request forms, order transportation, and coordinate logistics for college visits.
  • Attend counselor conferences for each college to stay informed on current admissions practices and updates.
  • Write letters of recommendation as needed for student scholarship or college applications.
  • Meet with National Merit semifinalists to explain application steps and timelines; assist with application completion and follow-up.

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. This job is performed in a generally clean and healthy environment.

 

Education

Bachelors Degree or equivalent Industry Experience. Continuing education/training: Monthly IT training, Counselor conferences, Bi-Annual district training meetings, UtahFutures training.
