SpEd Office Assistant
Responsibilities Include:

1. Student Records & Compliance

  • Maintain confidential IEP files, eligibility forms, accommodation documentation, and progress monitoring records.
  • Track deadlines for annual reviews, reevaluations, and parent notices to support compliance with IDEA.
  • Prepare reports and organize documentation for state/federal audits and district SpEd monitoring.

2. Communication & Coordination
  • Act as a first point of contact for parents, the district SpEd office, related service providers (OT, SLP, etc.), and hospital/district partners.
  • Coordinate meetings for IEPs, re-evals, and staffings, ensuring all stakeholders are notified and materials are ready.
  • Draft correspondence such as parent notices, meeting invitations, and reminders in accordance with legal timelines.

3. Clerical & Data Entry
  • Enter data into SAMS, Educator’s Handbook, or state SpEd systems (depending on district requirements).
  • Support registrar/teachers by updating student profiles with accommodations and modifications.
  • Process testing accommodations paperwork (ACT, GED, NWEA, etc.) as assigned.

4. Student Support in the Office
  • Monitor SpEd students referred to the office for behavioral regulation, health needs, or crisis de-escalation, following safety protocols.
  • Assist in providing a calm, supportive environment while waiting for a counselor, case manager, or administrator.

5. Resource & Material Support
  • Maintain inventory of SpEd-specific instructional resources (visual aids, assistive tech supplies, fidgets, etc.).
  • Prepare and distribute accommodation packets or teacher support binders each term.
  • Support scheduling of specialized testing rooms or spaces for quiet/individualized work.

6. Confidentiality & Compliance
  • Ensure confidential handling of student information at all times.
  • Follow all FERPA and IDEA records, communication, and data storage requirements.

Instructional Assistant 4/General

 

Purpose Statement: The job of Inst Assistant 4/General is distinguished from similar jobs by the following characteristics:
 - Plans, prepares, and delivers instruction under the supervisor’s or classroom teacher’s direction.
   This job reports to the Site Administrator.

 

Qualifications:

 

Skills:

Perform multiple tasks that occasionally require upgrading skills to meet changing job conditions.

Specific skill-based competencies: adapting to changing work priorities; applying pertinent laws,

codes, policies, and/or regulations; coordinating activities with other schools, districts, and/or

agencies; facilitating department goals; and organizing and communicating information and

concepts.

 

KNOWLEDGE

Previous experience is preferred but not required.

 

Perform algebra and/or geometry; read various manuals; write documents following prescribed formats;/present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge-based competencies are required to perform the job’s functions satisfactorily, including knowledge of curriculum, instruction, and assignment subjects; pertinent laws, codes, policies, and/or regulations; and relevant professional standards and practices.

 

ABILITY

Schedule activities and/or meetings; gather and/or collate data; and use basic, job-related equipment. Flexibility is required to work with others, work with data utilizing defined and similar processes, and operate equipment using defined methods. Ability is also required to work with diverse individuals, work with similar data types, and utilize specific, job-related equipment.

 

Problem-solving:

Identify issues and create action plans. Data problem-solving may require independent interpretation, and problem-solving with equipment is limited. Specific ability-based competencies required to perform the job satisfactorily include communicating with persons of varied educational and cultural backgrounds, meeting deadlines and schedules, providing leadership, direction, and team building, as well as setting priorities.

 

Work Environment:

The usual and customary methods of performing the job's functions require the following physical demands: lifting, carrying, pushing, and/or pulling, stooping, kneeling, crouching, and/or crawling, and significant fine finger dexterity. Generally, the job requires 30% sitting, 30% walking, and 40% standing. It is performed under minimal temperature variations and in a generally hazard-free environment.
